Scope

This Privacy Policy explains how Tygart Nexus handles information for AfterHours Command. It covers the marketing website, demo call interactions, lead or contact requests, sales and support communications, and the AfterHours Command service where applicable.

Information we collect

  • Contact details submitted by visitors or prospects, including name, company, phone number, email address, and message content.
  • Demo call information, including caller number when available, call metadata, call recordings, transcripts, summaries when enabled, reason for call, preferred appointment times, and notes captured by the AI agent.
  • Customer and business data provided during onboarding or configuration, including services, service areas, hours, escalation rules, FAQs, and contact methods.
  • Website, device, and log data, including IP address, browser or device type, pages viewed, timestamps, referral source, and security events.
  • Communications data from email, SMS, sales, support, and operational follow-up interactions.

Billing and payment processing are not represented on this website as a live self-serve payment flow. If billing is later handled through a third-party processor or invoicing workflow, this policy should be updated to describe that processing before launch.

Analytics and cookies are used only when enabled in the service configuration. When analytics are enabled, they should not include call transcripts, phone numbers, email addresses, or secrets.

How we use information

  • Responding to inquiries and requested follow-up.
  • Operating demo calls and explaining how after-hours intake works.
  • Capturing and routing leads, appointment requests, and follow-up context.
  • Providing, maintaining, debugging, securing, and improving the service.
  • Preventing fraud, misuse, abuse, and reliability issues.
  • Supporting sales follow-up when someone requests contact.
  • Meeting legal, compliance, security, and recordkeeping obligations.

Demo calls, recordings, and transcripts

Demo callers are speaking with an AI agent. Calls may be recorded, transcribed, summarized, and reviewed for quality, security, and follow-up when those capabilities are enabled.

Callers should not share sensitive personal, medical, financial, legal, emergency, or confidential information during the demo. The demo line is not an emergency service and is not a live customer support line for an actual HVAC company.

Sharing and service providers

We may use service providers for hosting and cloud infrastructure, telephony providers such as Twilio when configured, voice AI or agent providers such as ElevenLabs when configured, email/SMS/notification providers, CRM, spreadsheet, and calendar tools when configured, analytics providers when enabled, and legal, safety, or compliance transfers when required.

We do not sell personal information. We do not use demo call data for third-party targeted advertising unless the site or service is later changed and this policy is updated.

Retention

Website and server logs are retained only as long as needed for security, debugging, reliability, and business operations unless legal obligations require longer retention.

Demo leads, call summaries, recordings, and transcripts have a default retention target of 90 days unless the information is converted into a business relationship, needed for security or legal reasons, or deletion is requested and legally permitted.

Customer records are retained while needed to provide services and for reasonable business, security, and legal obligations. This policy does not promise automatic deletion before the supporting process is implemented.

Choices and requests

You can request access, correction, deletion, or opt-out of follow-up communications by contacting hello@afterhourscommand.com. We may need to verify your identity before acting on a request.

SMS recipients can reply STOP where SMS messaging is implemented. Email recipients can request removal or use unsubscribe mechanisms where implemented.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system can be guaranteed completely secure.

Children

The website, demo, and service are intended for business users and are not directed to children or minors. We do not knowingly collect children's data.

Changes

We may update this Privacy Policy as the website, demo, or service changes. When we do, the effective date above will be updated.
